Data Deletion

Last updated August 11, 2026 · Operated by Emmanuel Alcorin Valdez (DentGeniePH)

You can ask for the personal data held about you to be deleted. This page tells you exactly how to ask, what actually gets removed, how long it takes, and — honestly — what has to be kept and why. It applies to patients who message a clinic on Messenger or Instagram, book through a clinic's booking page, or are treated by a clinic that runs on DentGeniePH.

Start here: which one are you asking for?

These go to different people, so picking the right one gets you an answer faster.

  • Chat and contact dataYour Messenger or Instagram connection to the clinic, the conversation history, your phone number and email. We can delete this. Send the request below.
  • Your dental recordTreatment history, X-rays, prescriptions, consent forms. The clinic decides this, because the clinic is the one legally answerable for your records. Send the request below anyway — we route it to them and follow up.

How to request deletion

Either route works. Email is faster to verify.

  1. Email hello@dentgenieph.com with the subject “Data deletion request”, or message the clinic's Facebook or Instagram Page with the words “delete my data” and ask the staff to forward it.
  2. Tell us which clinic. DentGeniePH runs several clinics and each one holds its own separate records. Without the clinic name we cannot find you.
  3. Give us something to match you on — your full name plus the mobile number or email you booked with, and the channel you used us on (Messenger, Instagram, the booking page, or in person at the clinic).
  4. Say what you want removed — everything, or just the chat and contact details.
  5. Confirm it is you.We will reply asking you to confirm from the same number or email on file. We do this because a dental record deleted on a stranger's say-so cannot be brought back.

Do not send us your password, and never send payment card details. We never ask for either.

What happens, and how fast

  • Within 5 working daysWe acknowledge your request and confirm your identity.
  • Within 30 daysWe complete the deletion and write back to tell you exactly what was removed and what was kept.
  • If it takes longerWe tell you before the 30 days are up, with the reason and a new date.

What gets deleted

  • Your Messenger and Instagram connection to the clinic, including the platform ID Meta gave us for you.
  • Your conversation history with the clinic's assistant.
  • Your contact details — mobile number, email and address.
  • Any pre-booking session held while you were still asking questions.
  • Payment screenshots you uploaded, once the matching invoice no longer needs them.
  • Uploaded files — X-rays, consent forms, clinical photos — where the clinic agrees they are no longer needed for your care.

Once done, the clinic's assistant no longer recognises you. If you message the Page again later, you are treated as a new enquiry.

What we cannot delete, and why

RA 10173 gives you a right to erasure, but that right yields where another law requires the record to be kept. Being straight with you about the three cases:

  • Treatment recordsA dentist has to be able to account for the care they gave. While that duty runs, the clinic keeps the clinical record — but it can be blocked from further use, which means no reminders, no recall, no marketing, and no use beyond that legal duty. Ask for blocking if outright deletion is refused.
  • Financial recordsInvoices, official receipts and payment records are retained for the period Philippine tax regulations require. We can remove your contact details from them, but not the transaction itself.
  • Records under disputeIf there is an ongoing complaint, claim or investigation, the relevant records are held until it closes.

Backups are not instant. Data already written to an encrypted backup rolls off on the normal backup cycle rather than being surgically removed, and is not restored into the live system.

If you only want the messages to stop

Deletion is heavy-handed if the real problem is that you are getting too many messages. You have lighter options, and none of them touch your dental record:

  • Reply STOP to any message to end reminders, recall and follow-up messages. Confirmations for appointments you actually booked still come through.
  • Ask the clinic to switch you to one channel only — email but not chat, or the reverse.
  • Ask the clinic to blockyour data instead of deleting it. Your record stays for the dentist's legal duty, but nothing else is done with it.

If you are a clinic closing your account

Tell us in writing from the email on your account. You will get a full export of your clinic's data — patients, appointments, invoices, documents — in a usable format first. We then disconnect your Facebook and Instagram Pages, revoke the messaging tokens, and delete our copy after the wind-down period in your contract. Your patients' records remain yours; your obligations to them as their clinic do not transfer to us.
